Administration and Procurement Clerk  

Program: Bulawayo and Manicaland

Reporting to the Administration & Procurement Coordinator (APC), the Administration and Procurement Clerk is responsible for providing administrative and procurement support service to the Program Area (PA) team. The role supports the Supporting Adolescents Girls Education (SAGE) Project on Level of effort.

Accountabilities:

  • Supports the APC to manage relationships and processes relating to partners and stakeholders.
  • Implements PA risk action plans.
  • Analyze and consolidate PA requisitions.
  • Conducts all procurements for review/approval by the APC.
  • Liaise with suppliers and recommend an updated suppliers’ list half annually to the APC.
  • Analyses, develops and identify project material requirements derived from the operational plan in collaboration with all department head and staff.
  • Comply with Plan’s policy and procedure on procurement, storage, inventory, distribution and receipt of all purchases made.
  • Initiates and reviews relevance of the purchase tracking and procurement processes for effective feedback and monitor procurement.
  • Carry out regular field visits to verify delivery and usage of project material according to purchases specifications and implementation plan.
  • Prepares procurement reports on time.
  • Ensure all vehicles and motorbikes are registered, insured and licensed according to local regulatory legislation.
  • Maintain an accurate and up to date motorbike and vehicle records (file).
  • Timeous updating of all assets in the Asset register.
  • To recommend acquisition and disposal motorbikes and vehicles according to the requirements of the operational plan.
  • Effective implementation of Plan policy and procedures on management of assets.
  • Processes all office rental and related costs in time. Ensure that Plan offices and premises are adequately manned and secured according to Plan’s policy.
  • Follow up and liaise with relevant departments to capture and update assets acquired and disposed.
  • Carryout physical verification at least bi annually and submit up dated asset registers.

Knowledge:

  • A degree in Purchasing and Supply Management, Business Administration or Equivalent qualification.
  • A minimum of 5 ‘O’ Level passes including English Language and Mathematics
  • 3 years relevant working experience at a similar level
  • Ability to interpret and work in accordance with laid down procedures

Skills:

  • High level of integrity and innovative skills

  • Excellent computer literacy skills particularly in Ms Word, Excel, Access and PowerPoint
  • Excellent interpersonal skills
  • Good report writing skills
